Lee ICANGO Minibus Lending Agreement (non-profit making community groups & organisations only) – Version 01/2024

  • Use of the minibus(es) requires payment of the minimum charge, currently £45 (up to 30 miles) plus excess mileage charges of £1.50 per mile. In addition, parking, toll, and emission zone charges, where applicable, must be paid by the lender.
  • Before the keys are handed over, Lee ICANGO must check the Driving Licence details and MiDAS certification of each driver to meet our lending policy, Section 19 permit and for insurance requirements. Please follow the instructions at: https://www.gov.uk/view-driving-licence and obtain a code for the check to be made.
  • Lee ICANGO will undertake a driver assessment and eyesight check. We reserve the right to refuse lending, at our discretion, for any reason.
  • Each lending of a minibus includes fuel in the tank. However, a fuel card (to be used at Shell Petrol retailers only) is available for any diesel top up should the fuel level reach or go below 1/3rd full.
  • You must record the details of the organisation, purpose of the trip with start and end mileage readings in the mileage sheets held in the bus; and include passenger numbers.
  • Before your journey, you must familiarise yourself with the documents the Vehicle information folder and complete the vehicle inspection form.
  • You must ensure that, to the best of your ability, the vehicle is road worthy before each journey. The driver is responsible for ensuring this and it is not the liability of Lee ICANGO. This includes, but is not limited to ensuring that all external lights are working correctly, tyres are of the legal minimum tread depth and that tyre pressures are as per the plate inside the nearside passenger door, the minibus is not overloaded, etc…
  • It is illegal to overload the minibus, the Maximum Authorised Mass (MAM) is 4250kg (Jolly bus 1 & 2), the maximum payload for each bus is 1000kg
  • Any damage, issues, defects, or faults with the vehicle must be reported to the Lee ICANGO Transport Manager.
  • We reserve the right to cancel a booking due to circumstances outside of our control.
  • Insurance is provided on a Fully Comprehensive basis with a £150 fire, damage, and theft excess (£60 windscreen excess).
  • Lee ICANGO reserves the right to charge to the party borrowing the bus the excess charges, in the event of a claim being made following accident, damage or incident during the period that the vehicle has been borrowed.
  • The cost of repairs for any damaged caused to the bus and or third parties as a result of the vehicle being driven in a manner that voids our insurance policy, will be met by the borrower.
  • Any fines or fixed penalties that are incurred during the dates of lending as detailed below will be the responsibility of the user and not Lee ICANGO.
  • Our lending policy (and insurance) does not cover:
    • Drivers under 25 years, 
    • Drivers who have held a full UK Driving Licence for less than 2 years,
    • Drivers who have been declined insurance,
    • Drivers with any endorsements of their licence, 
    • Driver over 70 years (where no D1 or B (120) is held,
    • Driver age 80 or over.
  • Additionally:
    • You must declare any medical conditions that impair your ability to drive to our insurer.
    • You must declare any non-motoring convictions to our insurer.
  • The User of the bus must ensure that the Section 19 minibus permit is displayed in the vehicle during its use.
  • A Blue Badge & Time Clock is available in each bus but only whilst carrying passengers who meet the Blue Badge criteria.
  • Except for the personal effects (handbag, day-sack) of any passengers, equipment and luggage must not be stored or transported inside the minibus(es).
  • Arrangements to collect the keys are to be made with at least 72 hours’ notice to the transport manager.
  • With the exception of assistance dogs, animals are not permitted in the minibuses. The transport manager must be notified if an assistance dog will be travelling in any minibus.

Safeguarding

  • Lee ICANGO has a safeguarding policy for vulnerable adults and children (available on request).
  • It is the responsibility of the hiring organisation to ensure safeguarding and DBS checks are adhered to and meet the requirements of their group of passengers being transported, including the lead organiser / carer / escort.
  • If you require a Lee ICANGO driver to have DBS checks this must be stated at the time of booking.
